FitKoh Bridge
A server-side integration connecting Clock PMS and Poster POS into one automated flow. No manual data entry. No missed charges. Full visibility.
The Problem Today
- Clock manages rooms and guest billing. Poster manages the restaurant and bar. The two systems don't talk to each other.
- Every check-in means manual data entry of guests into Poster.
- Every checkout means 10–15 minutes of copying charges line by line onto the Clock bill.
- Charges go missing — items, amounts, or whole receipts — and nobody notices until the guest complains, or doesn't.
- No live visibility into what's happening across the two systems day to day. Errors disappear silently.
Solution Hypothesis
Success criteria — each item is a yes/no answer at go-live.
- When a new guest is created in Clock, the Bridge automatically creates a matching user in Poster. → yes / no
- When a guest's program is selected in Clock, the Bridge calculates the meal-package allowance and tracks included items for that stay. → yes / no
- When food, beverage, or shop items are charged in Poster during the stay, the Bridge delivers them to the Clock folio automatically at checkout. → yes / no
- Every charge on the folio has a clear audit trail back to its Poster receipt. → yes / no
- Failed transfers between Clock and Poster appear in an error queue and can be retried with one click. → yes / no

Live in production bridge.fitkoh.app
- Operations dashboard — guest list, orders, and receipts in real time. Magic-link admin login.
- Automatic meal-package detection — each guest's package allowance is calculated from stay length and program; the algorithm picks the most expensive eligible items first.
- Live order feed — new Poster transactions appear on the dashboard the moment they happen.
- Smart date filters — full stay, last 7/14/30 days, or any custom range. Orders grouped by day with running totals.
- CSV export — matches Poster's native receipts file, drop-in replacement for the file the team uses today.
- Per-line tax & final-bill split — net prices, subtotal, tax, and service charge derived from Poster (no more hardcoded 7%).
- Public API — FitKoh's own apps and tools can read bridge data directly with an API key.
In progress
- Meal-package algorithm calibration — final tuning so picks always favour the guest at the contractual cap.
Decision needed — separate from this offer
- 400 EUR Clock certification fee. Clock requires a one-time fee to enable real API access for the bridge. Paid directly by FitKoh to Clock — not part of my fixed price. Until paid, the bridge runs against Clock data exported manually.

Monthly maintenance & SLA

Server uptime, monitoring, dependency & security updates, Clock and Poster API change tracking, error-queue review, monthly status report.
Billed monthly. Cancellable with 30 days notice. Starts after the 14-day free maintenance window.
Custom change requests
150 €
/ hour, net
For new features or changes outside the maintenance scope (e.g. the modules listed under "What's Next?"). Time tracked transparently, billed monthly.
Larger requests can be quoted as a fixed-price project on the same terms as this offer.

Financial Dashboard
- Revenue today, this week, this month.
- Split by rooms, food & beverage, shop, treatments.

Owner Reporting & Access
- Summary of charges and revenue across all FitKoh properties in one dashboard.

- Predicted drink and snack volume from past programs.
Repeat Guest List
- All past guests with last visit date and total spend.
- Favorite dishes, drinks, and treatments per guest.
- Birthday list and contact export for personal follow-ups.
Automatic Guest Messages
- Daily WhatsApp bill summary sent to the guest.
- Auto-charge for minibar, late checkout, no-show.

Each item is independently scoped and quoted. Pick what fits, when it fits.
What I Need From You
Decision on the 400 EUR Clock certification fee.
Clock requires this one-time fee before they provision real API access. Paid by FitKoh directly to Clock — not part of my fixed price.
Once paid, Clock provisions the sandbox and provides API credentials (username, key, Subscription ID, Account ID). The Bridge can then be configured and tested against real bookings within the same day.
Alternative: keep operating on the manual Clock-export workflow we use today. The bridge stays useful, but every staff change in Clock means re-exporting and re-seeding.
